This Privacy Policy describes the privacy practices of The Ladies Collective LLC, doing business under brands that currently include The Ladies of Richmond and may include The Bourg if formally adopted ("The Ladies Collective," "we," "us," or "our"). It applies when you interact with ladiescollective.com or another website that links to this policy (each, a "Site"), any mobile or web application we make available (an "App"), a membership with us ("Membership"), our social media pages, public forums, events, marketing, and other online or offline services we offer (collectively, the "Services"). It also describes the rights and choices available regarding your personal information.
When you access or use our Services, you acknowledge that you have read this Privacy Policy and understand its contents. Your use of the Services and any dispute concerning privacy are subject to this Privacy Policy and our applicable Terms of Service and Supplemental Terms.

1. PERSONAL INFORMATION WE COLLECT
Information You Provide to Us
When you use our Services, we may collect the following personal information:
- Contact data, such as your first and last name, email address, mailing address, telephone number, and contact information for a person assisting you with scheduling.
- Profile data, such as your username and password, account settings, interests, preferences, date of birth, profile photograph, biography, and content you upload, including associated metadata.
- Registration data, such as information submitted in connection with a Membership application, account, event, waitlist, trip, program, matching experience, survey, or other registration.
- Personal and community goals, such as your interests, priorities, preferred activities, reasons for joining, types of relationships or experiences you seek, availability, and responses used to support introductions or matching.
- Sensitive personal information that you voluntarily provide, such as racial or ethnic origin, religious beliefs, health-related needs, sexuality, citizenship or immigration status, or precise location. We will request consent before processing sensitive data when required by law.
- Professional information, such as your employer or business, industry, title, function, professional experience, skills, business interests, and information that may appear on a professional profile or resume.
- Communications, such as information you provide when you contact us, submit feedback, respond to a survey, communicate with another member through the Services, or otherwise correspond with us.
- Marketing data, such as your communication preferences and information about how you engage with our newsletters, messages, advertisements, and promotional campaigns.
- Event and media data, such as registrations, attendance, accessibility or dietary information, photographs, audio, video, testimonials, and other information connected with an event or program.
- Financial and transaction data, such as billing details, purchase history, payment status, refunds, and transaction information. Payment-card data is generally collected directly by our payment processor, and we generally do not receive or store your full card number.
- Other information that is not specifically listed here but that we use as described in this Privacy Policy or as disclosed when collected.
Third-Party Sources
We may combine information we receive from you with information obtained from other sources, including:
- Public sources and social media platforms. The platform provider’s privacy policy applies to its collection and processing. Information provided to us through the platform is handled under this Privacy Policy.
- Calendar services. If we offer calendar synchronization and you choose to connect a Microsoft, Google, Apple, or other calendar, we may sync, update, or remove Service-related events. You may revoke access through your account or calendar-provider settings. Revocation does not affect information already received.
- Other users, nominators, hosts, facilitators, or community leaders who provide information connected with your participation, nomination, referral, registration, or use of the Services.
- Marketing partners, event partners, sponsors, venues, ticketing platforms, and other businesses with which we collaborate, subject to applicable law and the choices presented to you.
Automatic Data Collection
We, our service providers, and our business partners may automatically collect information about your device and activity over time, including:
- Device data, such as operating-system type and version, device manufacturer and model, browser type, screen resolution, IP address, unique identifiers, referring website, and general location inferred from your IP address.
- Online activity data, such as pages or screens viewed, links clicked, navigation paths, access times, duration of access, search activity, and interactions with the Services or our communications.
- Location data. We may infer a general location from an IP address. If an App requests precise location and you grant permission, we may collect precise location using GPS, wireless, or Bluetooth technology. You can control precise-location access through your device settings.
Cookies and Similar Technologies
We may use cookies and similar technologies to operate and understand the Services:
- Cookies are text files stored on a device to recognize a browser, remember preferences, enable functionality, support security, and understand activity and usage patterns.
- Web beacons, pixel tags, and clear GIFs may indicate whether a page or email was accessed, opened, viewed, or clicked.
- Software development kits, or SDKs, may be incorporated into an App to provide analytics, social-media integration, security, or other features and functionality.
Nominations and Referrals
Members or users may be able to nominate or refer friends, colleagues, or other individuals. You may provide another person’s contact information only if you have permission for us to contact that person. We may identify you as the nominator or referring person.
2. HOW WE USE YOUR PERSONAL INFORMATION
Service Delivery
We may use personal information to:
- provide, operate, administer, secure, and support the Services;
- evaluate and process Membership applications and establish and maintain profiles and accounts;
- process registrations, reservations, waitlists, purchases, payments, refunds, and participation in events, programs, trips, and other offerings;
- communicate about Membership, accounts, transactions, events, groups, introductions, matches, changes, security alerts, support, and administrative matters;
- facilitate introductions, community experiences, member discovery, matching, and communication among participants;
- personalize content, recommendations, programming, benefits, and the user experience;
- provide customer support and respond to requests, questions, complaints, and feedback; and
- maintain records relating to participation, agreements, permissions, and legal compliance.
Research, Development, and Improvement
We may analyze personal information to understand use of the Services, assess community needs, improve operations and user experience, develop features, products, programs, and events, evaluate performance and demand, identify opportunities, and create aggregated or deidentified insights. Where required, we will obtain consent.
Marketing
We may use personal information to send newsletters, event announcements, Membership information, partner opportunities, promotions, surveys, and other marketing communications consistent with your preferences. You may opt out as described in Section 4. We may continue to send nonmarketing communications about your account, transactions, safety, or Services.
Compliance and Protection
We may use personal information to comply with legal obligations and to:
- protect our, your, or others’ rights, privacy, safety, and property, including by making or defending legal claims;
- audit internal processes for compliance with legal, contractual, and policy requirements;
- enforce the agreements and rules governing the Services;
- detect, investigate, prevent, and deter fraudulent, harmful, unauthorized, unethical, or illegal activity, including cyberattacks and identity theft; and
- respond to subpoenas, court orders, lawful requests, and government authorities.
Employment Applications
If you apply for employment or contract work through the Services, we may use your information to evaluate your application, communicate with you, make hiring or engagement decisions, improve recruiting processes, and conduct reference or background checks where permitted by law.
Business Operations and Other Purposes
We may use personal information to maintain and analyze records, identify prospective users or partners, measure promotional effectiveness, manage vendors and relationships, operate and expand our business, and carry out other purposes disclosed when information is collected. We may also use information for another purpose with your consent.
3. HOW WE SHARE YOUR PERSONAL INFORMATION
We do not sell personal information. We may share personal information with your consent, at your direction, as described when collected, or in the following circumstances:
- Affiliates. We may share information with companies under common ownership or control for purposes consistent with this Privacy Policy.
- Service providers. We may share information with companies and individuals that support hosting, analytics, security, communications, customer service, marketing, database management, event operations, ticketing, matching, and other functions on our behalf.
- Partners and sponsors. If we co-host or collaborate on an offering, we may share information as reasonably necessary to provide it or when you consent through registration. A partner’s own privacy policy may apply to its separate use of information.
- Hosts, facilitators, instructors, and other providers. We may provide information reasonably necessary to administer an event, program, trip, introduction, match, or other Service.
- Payment processors. Payment information may be collected and processed directly by Stripe or another payment processor. The processor’s privacy policy governs its independent processing, and we generally do not receive or store your full payment-card number.
- Other users and the public. Information in a public or shared profile, directory, forum, group, event list, message, submission, photograph, video, or other shared area may be visible to other users or the public. Information made public may be copied, cached, screen-captured, or stored by others.
- Professional advisors. We may disclose information to attorneys, accountants, auditors, insurers, bankers, and other professional advisors when reasonably necessary for their services.
- Compliance and protection. We may disclose information to government authorities, law enforcement, courts, or private parties when reasonably necessary for legal compliance, safety, investigations, or legal claims.
- Business transferees. We may disclose or transfer information in connection with an actual or proposed financing, merger, acquisition, reorganization, sale of assets, bankruptcy, dissolution, or similar transaction. We will take reasonable steps to require the recipient to honor applicable privacy obligations.
We may share aggregated or deidentified information that cannot reasonably identify you. We will not attempt to reidentify deidentified data except as permitted by law to test our deidentification processes.
4. YOUR RIGHTS AND CHOICES
All Users
- Access or update account information. If you have an account, you may review or update certain information through your profile or by contacting us.
- Marketing communications. You may opt out of marketing emails using the unsubscribe instructions in the message or by contacting privacy@ladiescollective.com. You may continue to receive nonmarketing messages.
- Cookies. Most browsers allow you to remove or reject cookies. Disabling cookies may cause parts of the Services not to work properly. Where we provide a cookie-preference tool, you may use it to manage available choices.
- Do Not Track and preference signals. Some browsers transmit Do Not Track or other preference signals. Because there is not a uniform industry standard for Do Not Track, we may not respond to it. Where applicable law requires recognition of another opt-out preference signal, we will process it as required.
- Linked calendars and platforms. You may revoke our access using your account settings or the third party’s settings. Revocation does not affect information already received.
- Choosing not to provide information. If information is required by law or needed to provide a Service, declining to provide it may prevent us from providing that Service. Required fields will be identified at collection where appropriate.
Texas Residents
Texas residents may have additional rights under the Texas Data Privacy and Security Act, as described in Section 12. These rights may be subject to legal exceptions and may not apply to all information or businesses.
How to Exercise Your Rights
To submit a privacy request, email privacy@ladiescollective.com or write to the address in Section 11. We may request information reasonably necessary to authenticate your identity and authority. We will process requests in accordance with applicable law. An authorized agent may submit a request when permitted by law and when we can verify the agent’s authority and the consumer’s identity.
5. THIRD-PARTY SITES AND SERVICES
The Services may contain links to websites, applications, social-media platforms, ticketing services, payment services, calendars, maps, or other online services operated by third parties. A link is not an endorsement or representation of affiliation. We do not control third-party services or their privacy practices. We encourage you to review their privacy policies before providing information.
Text-message originator opt-in data and consent will not be sold or shared with third parties for their own marketing purposes. We may share such information with service providers solely as necessary to deliver messaging services, comply with law, or protect rights and safety.
6. SECURITY PRACTICES
We use organizational, technical, and physical safeguards designed to protect personal information during transmission and storage. These safeguards are intended to be appropriate to the volume and nature of the information we process. No security measure is completely secure, and we cannot guarantee absolute security.
7. INTERNATIONAL DATA TRANSFERS
Personal information may be stored and processed in the United States and in other locations where we or our service providers operate. Privacy laws in those locations may differ from the laws where you live. Where applicable law requires safeguards for an international transfer, we will use appropriate legal mechanisms or obtain consent as required.
8. STORAGE AND RETENTION
We retain personal information for as long as reasonably necessary for the purposes for which it was collected and for essential purposes such as providing the Services, maintaining business and transaction records, complying with legal obligations, resolving disputes, enforcing agreements, and protecting rights and safety. Retention periods vary based on the amount, nature, and sensitivity of the information; the purposes of processing; the risk of harm from unauthorized use or disclosure; available alternatives; and legal requirements.
After the applicable retention period, we will delete or deidentify personal information. If complete deletion is not technically feasible, we will take reasonable measures to prevent further use except as required for security, backup integrity, legal compliance, or other permitted purposes. 9. CHILDREN'S PRIVACY
The Services are intended for adults and are not directed to individuals under eighteen (18). We do not knowingly collect personal information from children under thirteen (13). If we learn that we collected personal information from a child in violation of applicable law, we will take appropriate steps to delete it and restrict future access. A parent or guardian who believes a child provided information to us may contact privacy@ladiescollective.com.
10. CHANGES TO THIS PRIVACY POLICY
We may modify this Privacy Policy from time to time. We will post the revised version and update the Effective Date or Last Updated date. If changes are material or notice is required by law, we may also provide notice by email, through an account, by a conspicuous Site notice, or through another reasonable method. Changes become effective when stated in the revised policy. Please review this Privacy Policy periodically.

12. INFORMATION FOR TEXAS RESIDENTS
This section supplements the rest of this Privacy Policy for Texas residents. The Texas Data Privacy and Security Act ("TDPSA") may provide rights regarding personal data processed by a business subject to the law. These rights are not absolute, and legal exceptions may apply.
Texas Privacy Rights
- Confirmation and access. You may request confirmation of whether we process your personal data and access that data.
- Correction. You may request correction of inaccuracies in your personal data, taking into account the nature of the data and the purposes of processing.
- Deletion. You may request deletion of personal data provided by or obtained about you, subject to applicable exceptions.
- Portability. You may request a copy of personal data you previously provided to us in a portable and, where technically feasible, readily usable format.
- Opt out. Where applicable, you may opt out of processing for targeted advertising, the sale of personal data, or profiling used to make decisions that produce legal or similarly significant effects.
- Nondiscrimination. We will not unlawfully discriminate or retaliate against you for exercising an applicable privacy right.
No Sale of Personal Data
We do not sell personal data. We also do not knowingly sell sensitive personal data. If our practices change, we will update this Privacy Policy and provide any notice, consent mechanism, or opt-out method required by law before the change takes effect.
Sensitive Personal Data
Sensitive personal data may include information revealing racial or ethnic origin, religious beliefs, health conditions or diagnoses, sexuality, citizenship or immigration status, genetic or biometric data used for identification, precise geolocation, and personal data of a known child. Where the TDPSA applies, we will obtain consent before processing sensitive data unless an exception applies.
Submitting and Authenticating a Request
Submit a request by emailing privacy@ladiescollective.com or writing to the mailing address in Section 11. Describe the right you wish to exercise and provide enough information for us to understand and authenticate the request. We will not require you to create a new account solely to exercise a privacy right. We may be unable to fulfill a request if we cannot reasonably authenticate it or if an exception applies.
Timing, Fees, and Appeals
Where the TDPSA applies, we will respond without undue delay and generally within forty-five (45) days. We may extend the response period by an additional forty-five (45) days when reasonably necessary and will notify you of the extension and reason within the initial period. Requests are generally processed without charge up to twice annually, although a reasonable fee may be permitted for unfounded, excessive, or repetitive requests.
If we decline a request, we will provide the reason and instructions for appealing when required. You may appeal by emailing privacy@ladiescollective.com with the subject line "Texas Privacy Appeal" within thirty (30) days after receiving our decision. We will respond to the appeal within the period required by applicable law. If an appeal is denied, you may submit a complaint to the Texas Attorney General through its consumer-protection process.
